How does HSC handle personal information?

...The practices summarized below for the Huntsville Ski Club (HSC), Inc. Officers, Directors and Staff, as fiduciaries, are
derived from the HSC Constitution and best business practices to protect club member's
privacy.

...We take privacy matters very serious. That is why the HSC
is very careful in its practices in collecting personal information and protecting
that information from distribution to just any persons or organizations.
Overview
...The HSC operates for the benefit of its members and potential members interested in recreational sport and social actives. The Huntsville Ski Club - "It's not all about skiing." is a very diverse club participating in a multitude of physical and fun activities. This statement
describes the HSC privacy practices for all personal information collected by the club from its members, or from our non-member visitors, and describes the practices that the HSC will follow with respect to the privacy. As member of the HSC, or as a visitor to club meetings or to the club’s web site, you are accepting the practices described in this privacy statement. From time to time, the HSC may change this privacy statement. For example, as we update and improve our web services, new features such as “log-In” may require modifications to the privacy statement. Accordingly, please check back periodically to review this statement.
What personal information is collected?
...The HSC or its representative may collect personal information for membership, trip, and activity or event purposes. The personal information collected may include some or all of the following but not limited to the following information: your membership number, name, address, telephone numbers, e-mail addresses, date of birth,
sex, married or single, membership type, moneys paid, recreational preferences, poling instructions and personal identification number (pin), etc. This information may be kept in electronic data basis or in paper files.
How is information collected, used, and disclosed?
...Information may be collected electronically through email, electronic forms or web interactions or via paper hard copy of similar form and content as the electronic versions. If you have provided information, you consented to the collection and use of your personally identifiable information as described in this privacy statement. The personal information collected by the HSC is collected on behalf of and for the sole purpose of the HSC membership. We may provide this information directly to, or use this information at the direction of the HSC Board of Directors. The HSC treats the personally identifiable information as strictly confidential and it is only used to carry out the services and activities provided by the HSC. We do not sell or rent or otherwise give personal information collected to unauthorized individuals. The HSC may provide aggregate statistics or statistics relating to visits to our sites, enrollment in the various activities and demographic information, but these statistics will not include personally identifying information. The HSC may disclose information in special cases, when we have a good faith belief that such action is necessary to: (a) protect our members from harm, (b) conform to legal requirements or processes; (c) protect and defend our rights or property; or (d) enforce the
terms and conditions of membership. If in the future, the HSC makes other services available, we may contact you by e-mail regarding the availability of such services or provide such notice in the HSC newsletter –
The Flakey News. We may contact you by e-mail in connection with this service, such as providing a confirmation of your membership preferences or poling questionnaire, or your voting instructions. The HSC will publish member's contact information, activity preferences, etc to the HSC general membership in good standing unless members have identified such information as "Confidential," then such information is shared on a "need to know" basis as required to conduct the HSC business.

This includes, among other things, using industry standard techniques, such as firewalls, encryption, intrusion detection and site monitoring. Unfortunately, no data transmission over the Internet can be guaranteed to be 100% secure, like most other web sites. As a result, while we strive to protect your personally identifiable information, we cannot ensure or warrant the security of any information you transmit to us or receive from us. This is especially true for information you transmit to us via e-mail. We have no way of protecting that information until it reaches us. Once we receive your transmission, we make our best effort to ensure its security on our servers. Internally, we will restrict access to your personally identifiable information to key HSC Board members and HSC representatives who need access to the information in order to do their jobs. These members or representatives are limited in number, and are committed to our privacy policies. We will review our security arrangements from time to time as we deem appropriate.
How can you help protect your information?
...When you are using the HSC web site openly, without registration, or as a registered member with a password, PIN, user ID or other form of authentication, we strongly recommend that you do not divulge this information to anyone. The HSC or its representatives will never ask you for your password or any other personal security information that otherwise is not public knowledge or available through public sources in an unsolicited phone call or in an unsolicited e-mail.
